Our Solution

We approached this project with a focus on clarity and control. Using Airtable, we built a custom marketing infrastructure from scratch that acted as a Single Source of Truth for their lead and campaign data.

Key Components:

  • Campaign Tracking Tables: Consolidated all data from Meta, Google, LinkedIn, and outbound campaigns.
  • CRM Integration: Synced the Airtable base with their sales CRM to reflect lead status (e.g., qualified, closed, disqualified).
  • UTM Attribution System: Implemented 30-day tracking windows so booked calls could be tied back to the original campaign, platform, and even messaging sequence.
  • Custom Scripts & Automations: Connected everything through Zapier and native Airtable APIs to ensure real-time data flow.
  • Dashboard Reporting: Enabled easy visualization of lead sources, campaign performance, and marketing ROI.

Now, when a call is booked, the marketing and sales teams both know exactly where it came from, and what message got it there.

The Results

For the first time, CIO Mastermind had clarity:

  • They could see which platforms were producing results (including surprise wins like organic Google traffic).
  • They had a real-time view of how many leads were in each campaign, and which ones were converting.
  • They could assign and track cost per lead across platforms.

Even more important: they had the ability to tie marketing efforts to sales-qualified outcomes, giving leadership confidence that their strategy was working.
