The Challenge
Textbook Painting had a wide range of operational data scattered across SmartSheet, spreadsheets, and PipeDrive. Without a unified database, pulling accurate reports and making real-time, data-informed decisions was becoming harder and harder, especially as the business scaled. They needed one robust, flexible platform that could bring everything together and serve as the operational heartbeat of their company.
The Solution
We built a Single Source of Truth system using Airtable, integrating it with Zapier and other direct API connections to consolidate their operations. Our work followed our proven three-phase approach:
- Assessment: We reviewed their current systems and mapped out all data sources.
- Architecture Design: We structured how the data would connect and be used across the business.
- Implementation: We built out the Airtable system and set up automations to bring in data from external platforms.
This process took approximately 45–60 days and included a running checklist for all migration tasks. The result was a foundational system that has since been expanded and refined, with Textbook’s team now able to manage everything in one place… accurately, efficiently, and in real time.
The Results
While the core system remains, Textbook Painting has already made custom additions and modifications, testament to the system’s adaptability. They now have clarity across all major functions of the business, which has drastically improved reporting, forecasting, and decision-making across departments.
